Create, Find, and Manage Client Profiles
Find a client (athlete/wrestler), create a new profile, edit details, and deactivate or reactivate a profile.
Find a client
The start screen is where you find and open a client profile.
- In Find a Client, type at least 2 characters of a name or ID.
- Pick the client from the results to open their profile.
The counters below the search (active in the last 30 days, scans this week, total profiles) give a quick snapshot of your database.
To return to the start screen and pick a different client, use File > Close Profile or the Home tab.
BodyMetrix Software YSC: athletes on a Track Wrestling roster don’t appear in this search. Use the search on the Roster tab. See BodyMetrix Software YSC: Manage Rosters and Athletes.
The client’s Home page
With a client open, Home shows their profile card, headline stats, and a Recent Activity list of their latest entries. The label on each entry tells you where it came from:
- Body composition: a completed body composition assessment, showing the body fat percentage with the weight used.
- Weigh-in: a weight-only entry, from the Weigh In button, the scale, or a weight typed on the scan page.
Create a new profile
From the start screen, click + New Profile. The form is grouped into sections:
- Who: first and last name, gender, birth date (age is calculated from it), and an optional Group.
- Body: height and starting weight, used for body composition results.
- Contact: email, phone, and address.
Required in BodyMetrix Software Pro:
- Email, typed twice to confirm. It’s the key that identifies this client across your BodyMetrix records, so a typo matters. Each client needs their own email address. BodyMetrix won’t accept an address another client already uses.
- Address, city, and ZIP or postal code.
- State, if your practice is registered in the United States.
Required fields are marked. Everything else can be added later. The new profile opens automatically when you save.
Duplicate detection: if a similar client already exists, BodyMetrix warns you and offers to open the existing profile or merge instead of creating a duplicate. Use it to keep one record per person. See Find and Merge Duplicate Clients.
Edit a profile
Open the client, then click Edit Profile on the Home profile card. You can change:
- Name, gender, birth date, and Group
- Height and weight
- Phone and address
- Email, typed twice to confirm. It can’t match another client’s email.
Changes save to the client record and flow through to measurements and reports.
About weight: weight is a measurement, not just a profile field. Changing it in Edit Profile adds a new entry to the client’s weight history, dated today. Saving other profile details never adds a weight entry.
Don’t see Edit Profile? Editing profiles is a permission. An owner or admin can grant it in Setup > User Management, in the Edit Profile column.
Deactivate a profile
Profiles are never deleted. Deactivate them instead, so the full history is kept.
- Open the client and click Edit Profile.
- Click Deactivate... at the bottom.
- Pick a reason (required) and confirm.
While the deactivation prompt is open, Save and Cancel are disabled, so you finish or cancel the deactivation first.
A deactivated profile disappears from the start screen search and from active-client reports, but all of its data is kept. The profile’s History shows its full activate and deactivate timeline.
You can customize the list of reasons in Setup > Preferences > Deactivation Reasons.
Reactivate a profile
- Go to Reporting > Clients > Account Status.
- Reactivate the client from the list, or open their profile. A red banner on their Home page offers a Reactivate button.
